We never felt like we were left to figure things out ourselves, and the ongoing helpdesk support has been fantastic. Responses are very quick, and issues have consistently been resolved efficiently. I also really like the API integration and the flexibility of the reporting. Being able to create customised reports and then use an export link to connect them directly into Excel Power Query makes running and maintaining reports much quicker and easier. The reconciliation, GL and accrual functionality is also particularly useful for us, as it gives us a clear way to track and manage where we are with accruals. > > **Cons**: Xledger is a very detailed and comprehensive system, with a huge number of functions and features. For our business, we don't use a lot of them, so at times it can feel like more system than we necessarily need. However, this level of detail does have its benefits. Reports can be set up for Department managers to review their own results. Chart of accounts structures are simple and easy to maintain. Easy consolidation. Vat returns are very simple and easy to complete. VAT partial exemption rules can be built into the system, removing "decisions". Purchase Ledger payments are made directly from the system, which is better to review and approve. Purchase work flows are easy to build and maintain and give good controls. GL import documents are manageable (altho could be simpler) and save time. .Fixed Assets and depreciation postings are easy to manage and produce good reporting. Some intercompany postings work well, others do have issues. A GL or AP journal's coding can be changed if the period is open, no need to reverse and reinput. The support desk is generally responsive but can sometimes delay in escalating technical issues they cannot deal with. > > **Cons**: Purchase Ledger OCR does not work if you have small suppliers and can input incorrect data and so needs manual checking and input each time. Purchase orders are structured around products and therefore need to have a number of work arounds if you are an organisation that purchases mainly services, this includes GRN which is very much a "forced" process. Purchase ledger work is quite clunky and can involve moving between many screens, deferring/prepaying costs can be done as an invoice is processed but how to is not clear and many errors can be made that are difficult to unpick. When it works it's great. Approval processes are not instant and can take upto an hour to move between workflow people. Urgent transactions can be delayed. Sales invoices are not recorded in GL and therefore their detail is not available in reporting, very difficult for dept manager review. Multiple invoices are grouped into Sales Orders, which do not have a meaning for an organisation like ours. > > A great implementation in less than 4 months. Good quality implementation staff and project planning and monitoring.
