Pros:

The system is easy to use and configure and the support team is generally very pleasant to deal with.

Cons:

Loading a form can take over 30 seconds. In addition there are a lot of frustrating issues in the designer: its not possible to modify or even to check the settings on references.

Promapp as the leading business processes mapping tool

Comments: The main business problem Promapp resolves is that it brings the visibility for cross-functional teams to see different processes and how they are related to each other.
Previously the processes were stored in different locations (SharePoint, shared drives, local drives) and mapped in different tools (Excels, Words, Visio diagrams, etc.). Promapp allows to store the processes in one place, which makes global visibility for the company.
Also, the application has an exceptional and fast-case-resolving support team. The team provided me with numerous help and workarounds in a timely manner.

Pros:

I think that the best thing about Promapp is its simplicity. A few hours of training allows to create your first business processes. All features are very easy to find and use, which makes Promapp perfect tool for the majority of end users.

Cons:

I could not find the option to bulk import/export larger number of processes at one click. I participate in a project of migrating 100+ processes from another tool to Promapp and such a feature would really save me some time.

Scalable Product

Comments: Outstanding.

Pros:

Nintex neatly fills the gap between SalesForce and emailing a colleague... where a full scale workflow manager is overkill... but unmanaged communication isn't cutting it. For setup, Nintex eschews coding in favour of graphical workflow setups. Each node on the workflow as modular attributes and options that affect how the system works; as the administrator, it bridges your abstract workflow designs with implementing this product 1:1. The user experience is wild: if you implement this product properly, users will *never even know* they're using a workflow manager. Nintex's outputs are sent to users by email; users reply to that same email with custom action words like "approved" or "rejected" which pushes tasks or files to the next steps of the system. I have a lot of experience for technophobes and 'computer challenged' people... Nintex's genius is in talking to those end users like a memo from 1992.

Cons:

The product is priced according to the number of workflows, not the number of users. It can be difficult to sell this product in small companies where the ROI is skewed by few users/ numerous workflows. For numerous users/ moderate workflows, this product sells itself.

Good product with poor account management

Comments: This review is for the Nintex Workflows on-prem server licenses. It does a better job than SharePoint Designer on the process automation in SharePoint and different applications/servers. However, due to the drama on the account management side and the higher pricing to the cloud, I will not consider implement it in the cloud environment.

Pros:

The workflow design canvas also works as a documentation platform for the project release or even the audit review. With the purchase of license, we can create unlimited workflows with the old pricing model. We learned the new subscription model prices based on the number of workflows on the cloud, and the price is higher than what we would like to afford. I am glad that we only use Nintex Workflows in the on-prem environment.

Cons:

The thing that I dislike Nintex most is their horrendous customer service. Within a year of the license purchase, I have been contacted consistently with 6 different account managers and ALL of them wanted to know our company and learn how we used Nintex!?! Initially I talked to them, then I realized every of them is new to Nintex and I just kept repeating the same conversation to different account manager! This company has high employee turnover rate and is very unorganized. They provided me a wrong quote and blamed it to an employee no longer with the company. Though the quote had not expired, Nintex refused to honor it. After we paid. the tech support also issued our renewed server licenses to a wrong person... There is so much drama on the account / license management side of Nintex, which really ruins the reputation of their products.

Easiest software I've ever used

Pros:

The software itself is incredibly intuitive and easy to navigate and use. You can pretty much follow your nose to enter your processes in Promapp within no time at all. Of course you need to map out the process in the format of activities, tasks, notes and attachments first - that's the hardest part. Entering it is quick and easy.

Cons:

Not being able to go back to iterative versions of a process, particularly in the early stages before the first publish. Only published versions can be viewed and restored.

Pros:

I like the ease to automate complex business processes and workflows hence saving time,increasing productivity and reducing operational cost.

Cons:

So far the performance of this RPA tool is great as it achieves all my daily needs hence nothing to complain.

Nintex used to be a usefull and stable system for the money

Comments: We did integrate a lot of processes into SharePoint. this was easy and very visable.
Due to pricing increase we are forced to leave this nintex system and look for an alternative system.

Pros:

- Easy to use - Good customer support - Good functionality across the microsoft platform - good visualization of the flow

Cons:

- We started useing the Nintex license for a normal license pricing based on number of users. This year they changed the pricing strategie depending on number of workflows. - This increased the price by 10X - This is no longer the correct price for the system, this is no longer a correct pricing. - it is not possible to print out the flow

To Promapp or not to Promapp

Comments: We got Promapp for a 14,000 employee organisation that operates in the early education industry. This organisation did not have any business processes in place, documents stored in various places, experienced a high rate of staff turn-over and with it knowledge retention was a challenge. For this organisation to maintain its operations, it needed a simple, intuitive solution that would help in bringing policy, procedures, processes, glossary, roles and responsibilities and systems list together and make it accessible at the fingertips of all of its employees across Australia.

Pros:

Simplicity, ease of use, usefulness, cloud-based, friendly staff, connecting processes and documents, security groups and elements connectedness.

Cons:

Pricing, support, understanding of staff of BPM to provide better guidance and fit for purpose advice.

Nintex Forms & Workflow Engine

Comments: Both Nintex Form & Workflow design and development is very user friendly including the deployment too...

Pros:

Creating complex custom forms using Nintex is very easy and user friendly...a Layman can also build the form easily...

Cons:

Many time the workflow didnt trigger immediately and it will take few minutes and says it is in queue...

Best Business Process Automation Tool

Pros:

Nintex is so easy to understand and pick up. Anyone form a BA to a dev can pick this up and build workflows, forms and even mobile apps without writing code.

Cons:

Each product is different. You have thing on prem, that are not in O365 and things in the cloud that are not on-prem.

AssureSign is an Assurance

Comments: AssureSign has made it very easy to get our clients signed up and steamlines the process. Overall, it's really a benefit for "closing the deal."

Pros:

We use AssureSign daily in our work at the firm. One of the best things is the ease of use. You can just enter the information and it's on the client's phone or in their email in seconds. No delays. We can also see if they've been able to pull up the form and when it's completed either on the site or via the email link sent. It makes life so much easier.

Cons:

I wish it would allow you to see the process of signing real time as the client signs. I understand how it can confuse newer user so it would be a benefit when the ask, "Where's that at?" to know which "where" they're referrring to

Ideal BPM software for an organisation going through major change

Comments: The Project Management Institute of New Zealand (PMINZ) is going through major change at governance, operational and commercial levels. Also as a non-profit organisation PMINZ faces unique challenges such as the staff are nearly all volunteers and are from all over New Zealand. Where Promapp is having the biggest impact is giving PMINZ the tools to plan, implement and manage change and implement continuous improvement. So what are these tools and how have they made an impact? Document management: Promapp's excellent document management functions has enabled PMINZ to move from a legacy document management system for key documentation covering policies and procedures to a much more comprehensive easy to use system. User access and permissions: This is easily configured to mirror the PMINZ organisational chart and business rules. Permissions are proving very useful currently during the intensive review of the governance of the organisation to restrict access to policies that are still under review by the Board of Directors. Process development: Promapp is challenging PMINZ to simplify and restructure all processes using plain language for the published versions of processes. One important example of this is in the revision of HRM practices and procedures. Up until their update in Promapp the old processes were outdated. The revision of HRM in Promapp is now having a major impact on our organisation through better recruitment, induction and recognition of volunteer achievements. Feedback and improvements: The ability to implement continuous improvement within PMINZ using Promapp is also starting to have major benefits by the ease of which users can suggest improvements to processes. They now are more engaged. The most critical success factor of all has been is to ensure that the Board of Directors and senior management have fully supported not just the changes taking place but understanding what Promapp can deliver. So my recommendation is during the early stages make sure the key decision makers and influencers are educated about and understand what Promapp is about. The final comment is that is has been very liberating for our organization to free itself from the large wordy, difficult to read Operations Manual to an easy to use online software tool. Promapp is warmly recommended.

Pros:

Ease of use, customization, makes it easy to simplify processes

Cons:

More customisation in how processes are displayed (particularly the use of the swimlane display).

Review for Nintex Workflow only

Comments: Overall Nintex workflow has allowed us to streamline several business processes (including RMA, Shipping document creation, etc. ) in our manufacturing environment. Site workflows have improved data transparency to business users and owners. Note: Nintex workflow might be a solution for Nintex to fix their license renewal process!

Pros:

Visual workflow tool that is easier to use and troubleshoot that standard SPD workflows. In the past 3+ years myself and team have been able to achieve workflows that would not be able to be done with SPD: including pushing SP form data to word templates, site reporting workflows and interacting with excel spreadsheets.

Cons:

Software is fine despite unexpected canceled workflows with poor guidance on why it canceled. Support / purchase and renewal process is not transparent. The renewal process is not straightforward and this year in particular we have gone through 5 different contacts (Nintex employees and Nintex 3rd party) to just renew our yearly license. Very confusing and frustrating for a simple process.

Simple workflow for everyone

Comments: Here are some process we have dematerialized :
- Internal Purchase Order
- Approval of none business working hours
- Customer order approval
- Availability planning resources
- Employee Annual review
- Word generation
- Multiple forms of customer data creations

Pros:

With Nintex, you can easily create workflows and forms. Without any software / development skills, you can create powerfull forms and workflows. For example, we have created a purchase order application that send email (lazy-approval) to manager asking their approval for the PO, and simply by answering the email, the PO can be approved of rejected. We are using Nintex inside our Intranet (SharePoint) platform. Features I like : - lazy approval - Word generation (based on data in SharePoint) - Call Webservice (simple query / update in another system) - History - Wysiwyg forms (and responsive) - And a lot more !

Cons:

There is not so cons about Nintex (maybe it's pricing ?)

Implement Promapp!

Comments: The main benefit is that everyone we do is in one place, meaning that things are easy to find and actions are easily recorded to ensure completion.

Pros:

It is easy to use and works well as an entire system in an organisation. Using the different modules that are available allows Promapp to be integrated well. We use it for incident management, change management, process mapping, document control and risk monitoring.

Cons:

Sometimes it seems fairly rigid in what you can do on the system.

Comments: I have been using Promapp for over 4 years now and love it more today then ever before. Having gone through several organizational transformation programs the bottom line is still true, you need to have an organized, well thought through process to make an organization productive and profitable. The simplicity with which we can build and change processes aligned to our organization is just elegantly simple, allowing all our people to understand what their core role processes are and how they fit into the bigger picture. It allows us to simply deliver guides, hints, tools and explanations about how our business works to our people. One of the additional features I enjoy is the Risk module, which allows me to identify, score and measure risks and mitigations that exist in our processes. Overall the tool is simple to build, simple to deploy and simple to use. It is an enabler, it will do nothing on its own but if you allow it to work for you then you can make your business a much more productive place! The team at Promapp have always been fantastic to work with, from pre-sales, consulting, through deployment to BAU support. Their vision for future use and enhancements is also excellent, which allows me to feel confident about the future of the tool. In short, I'm a fan

Simple do create, develop and deploy

Cons:

There are some situations where the tools wont create exactly what you want

Promapp is the best process management tool I have ever used!

Comments: Ability to monitor, amend and improve processes within our business; being visible to all employees without the necessity to send numerous emails (which are not always read).

Pros:

It is simple to use, I like that you can upload screen shots, documents, photos and even videos. The incident manager has been very useful in monitoring incidents both internally and from our customers. Allowing reports to be run and trends to be captured that are utilised in executive reviews with my customers. It is also great that they are kept updated throughout the life cycle of an incident. The fact that an incident highlights the need to review and amend a process is brilliant. I also find the fact that you can share a process via a link with your customer invaluable, allowing us to work in partnership with our customers to make improvements.

Cons:

There is very little I can criticise about this software; the value comes from its content and configuration. It would be useful to be able to search for a specific incident

Mapping your companies process workflow

Comments: Pretty good so far.

Pros:

The good thing about Promapp is that you can ditch your Vizio or Excel or other tools that you've been using for process mapping. Promapp is interactive and allows multiple people to give input into your process workflow. It allows for commenting and suggestions from people that do not have Promapp accounts and this is crucial because programs that need people to log in are logistical nightmares when you try to share things with others. I would bet that if you are the administrator of a program and you send someone something that requires a login, 9 times out of 10 they will ignore it since it requires the extra step. That's why most successful programs and software don't require login access when simply sharing something. With Promapp, once you share it, they are able to send comments and suggestions and it'll appear right into your inbox about which workflow. With the ability to lay out the entire process, end users can then see and tell if something is required or not. Then with this valuable information, you can start to eliminate mundane steps and save everyone's time and effort and therefore reduce backlog which is essential to how a company runs.

Cons:

It is obviously not as broadly know as a Microsoft product in Vizio so it may catch people off guard when something is sent to them by Promapp. But I believe it just takes a little bit more time and effort to get the news out and people will respond.

Great bundle of features for Process Management & Process Automation

Pros:

This tool is so easy to use and provide Flexible drag & drop designer option to develop Advanced workflows, forms, & state machines .It is seamless to Integrated across different systems . Works well with SharePoint on premise and SP Online . Love using it.

Cons:

Licencing cost is bit expensive which some time creates hurdle for customer who is having budget constraints.

Good value for money

Comments: I have used K2 blackpearl and K2 five for 5 years on medium to great projects.
It is one of the best values for money in the BPM market.
It still has a margin for improvement in customization and deployment tasks.
Its support team is simply awesome.

Pros:

Easy to learn and use. You can develop professional-grade workflow-based applications in days. Really extensible using its service brokers.

Cons:

Not so easy to master, it is easy to do a lot of things but is also easy to do it terribly wrong impacting the overall performance. Smartforms are not the most beautiful user interface except you want to invest a lot of time, although is really fast to add functionality to a solution is hard to customize it. It does not support some great staff like multilanguage out of the box.

K2 Online - Getting Better

Comments: Overall, the K2 deployment hasn't been too bad. From a business PoV - K2 has highlighted the many advantages and challenges in automating their processes. From a technical PoV there have likewise been great advantages in being able to deploy another cloud based solution without the hassle that server based solutions have traditionally caused. And inevitably there have been the usual dramas caused by cloud based solutions.

Pros:

- Considerable investment is starting to materialise with this product becoming more functional and effective. - Unlike Black Pearl - we don't need our own hardware to run this solution - There are quite a few forums and events run by K2 to spread knowledge and techniques

Cons:

- The K2 support desk people don't seem to be as up-to-speed as you'd expect/hope. - As with all cloud solutions, the deployments and patches are a concern as they have impacted existing solutions.

Comments: We use Promapp for Training, Credit Requests, Root Cause Analysis and Opportunity for Improvement - one place for all so very satisfied with the product

Pros:

Managing a business requires you to be on top of current issues and Promapp helps us do this

Cons:

Repetitive redirection away from my current activity and having to click things twice to activate. This is very frustrating when I do not have time as a luxury...

Wonderful... and then it Breaks

Comments: My overall experience with Nintex workflows has been a positive one. Even though I am experiencing the "failed to run" errors currently, all of my other workflows run and continue to operate smoothly. I continue to suggest incorporating Nintex workflows into our processes.

Pros:

The Nintex workflows are amazingly intuitive. As long as you have a firm understanding of what you want to happen, the Nintex workflow can make it happen. The functionality is amazing.

Cons:

The workflow breaks. Randomly. Failed to run, failed to start errors when there seems to be nothing wrong. I only see this issue in my most complicated workflow. All others run business as usually.

Well presented and set out software that can be used intuitively

Pros:

It sets out complex processes simply and are able to prepared quickly. Allows URL links and document links; Can be scaled for different organisational size. Can be used for induction, risk management and health & safety/training. Can be used as a basis for testing. Can share processes with other organisations (even if they don't have the product) and can receive processes from other like- organisations who are prepared to share their processes and then adapt these to your own environment,

Cons:

It is a financial commitment, so small organisations may not have the capital to invest. It still needs internal champions, though it is easier to motivate staff to use promapp than most products and that require data and therefore effort and thought to keep up to date.

K2 Cloud

Comments: Our department has used K2 to transform from a manual tracking system to an efficient automated workflow tracking system. This has improved the efficiency of work processes including assignment, completion and review of tasks with reports that can provide metrics and statuses of the numerous work processes.

Pros:

Easy to build workflows. Very flexible and customizable forms. Large library of tools available to build out any process. Easy to make modifications. Great reporting functions.

Cons:

Set up of new K2 Cloud environment requires IT Department to whitelist IPs and Azure Admin to grant consent. The process to do this is not very clear and can be difficult to get your company's internal departments to complete the required changes. The documentation provided is detailed and long which is needed but wish there was a quick start guide of 1-2-3 so company IT and Azure Admins can get it up and running easy and quick.
